Do you travel a lot and miss mail? Maybe you’ve had bills go to collections or miss important paperwork. Let me introduce you to a virtual mailbox. A virtual mailbox is a physical location where you can send you mail, and it gets scanned and uploaded for you to read online. You never have to miss another piece of mail again.

In the beginning of my career as a traveling speech-pathologist , I was frustrated with missing mail. Using the mail forwarding system from USPS was a nightmare. The forward would come into effect late and I’d miss my mail. I can’t even count the number of times my mail went missing. I even had a bill sent to a collections agency, since I never received it and was unaware that I had to pay it. Discovering virtual mailboxes was a game changed for me and made my travel career so much easier. I still use one today.

What is a virtual mailbox?

A virtual mailbox is a physical address where your mail can be sent and stored like a real mailbox. Although, you never physically go there and collect it. It gets sent to a commercial mail receiving agency, which values your privacy and collects and stores your mail.

When the virtual mailbox receives your mail, they will send an email to alert you. The virtual mailbox scans the front of the envelope or package that you received and uploads the scan into your account.

A virtual mailbox center can:

  • Scan the envelope your mail comes in and scan the inside contents
  • Have them forward the mail physically to you (plus the cost of shipping)
  • Shred the mail altogether
  • Or scan a letter and then decide to shred or mail it

There are many companies that offer virtual mailboxes at different prices. Many companies have more business-based plans. Plans each include a certain number of letters that you can receive per month (at that price) and a specific number of page scans. Premium addresses (an address from a prestigious street or city) and forwarding mail is always an additional cost.

Isn’t It Illegal To Open Somebody Else’s Mail? How Does This Work?

It is TOTALLY LEGAL for these services to open your mail, as long as you fill out and notarize a USPS form 1583. This form gives consent for a commercial mail receiving agency to open and scan your mail. You can download and complete the form once you sign up for an account.

My Pro Tip: Reduce Your Paper Mail

I have been using a virtual mailbox since 2015 and it has been a LIFESAVER! However, I still recommend travelers to reduce your paper mail.

To reduce the amount of paper you receive, you can sign up for as many e-payments and e-statements as possible. Go to your banks, loans, utilities websites, and choose email communication and paperless statements. If you are still getting mail (catalogs, etc) call the companies and request to be taken off their mailing list.

Reducing your paper mail will reduce the amount of mail sent to your virtual mailbox, thus lowering your plan fee. And bonus: it’s also a healthy move for the environment.

Does all of my mail HAVE to go to the Virtual Mailbox?

No! A virtual mailbox is just like a real mailbox, you can decide what gets send there and what does not. If you want to put a forward on your home address or a temporary address and have everything sent to your virtual address, you could. If you are signing up for a utility in a new place and don’t want to miss any final bills when you move out (like I did), then you can put the utility mailing address as your virtual mailbox. You can pick and choose the pieces of mail that get sent there.

If you are considering traveling full time in the future, definitely consider getting a virtual mailbox. I wish I had known about virtual mailboxes sooner in my career – having one could have saved me a lot of headaches!

The reason I’m even writing this Traveling Mailbox review is that I remember being in your shoes about five years ago. I was reading through article after article, feverishly doing research on every virtual mailbox service I could find. Information was sparse, but I eventually made a decision. I’ve been a Traveling Mailbox customer for ten years now and I’d like to share with you why.

There are a number of different reasons that you might want a virtual mailbox like Traveling Mailbox. Maybe you live the RV life. Maybe you want to keep your home address private. Perhaps you’re an overseas expat or a digital nomad doing business in another country.

Or, as in my case, many of the above.

In my research, I found that there were a number of virtual mailbox features that you need to consider before you make a decision.

  • Do You Need a Specific Address? Some virtual mailbox services only offer one address, others offer multiple addresses in many states.
  • Do You Get a Lot of Mail? Some services make you pay per scan. Others give you a set number of mail pieces each month.

To be clear, Traveling Mailbox is a virtual mailbox, not a virtual office or a P.O Box.

There’s a big difference, believe it or not.

If you need an assistant to answer the phone or a room to hold meetings, you’re looking for a virtual office (i.e. Regus or WeWork).

On the other hand, if you need a single physical address where you can receive mail no matter where you are in the world, you’re looking for a virtual mailbox.

You can think of Traveling Mailbox and other such services as a way to digitize your physical mail and to keep your true address private.

For me, as I travel around the world, it gives me a single address where I can have mail, new credit cards, packages or anything else mailed either to me or to my business. And if you’re curious about security, you can learn more about whether virtual mailboxes are safe here .

At its core, here’s what Traveling Mailbox offers you:

  • A Physical Mail Address: In my case, I chose a Dallas address that has a “suite number”, which is my personal mailbox number. It looks professional and nobody has ever asked about it being “virtual”.

  • Online & Mobile Access: Any incoming mail is automatically scanned and you are alerted via email or notification. You have the option to view and organize the mail on either your online mailbox or the handy mobile app. I prefer the app.

  • Simple Action & Organization: Just like with email, you can create a folder filing system for your mail to keep it organized. You can also tag the mail with custom tags as a secondary form of mail management.
  • Online Storage Integrations: Traveling Mailbox can upload your scans directly to your Google Drive, Evernote or Dropbox account (even if Dropbox happens to be blocked for me in China ).
  • Virtual Office Features: Although Traveling Mailbox isn’t a virtual office, they do offer some interesting features including the ability to send/receive faxes, mail a letter, mail a check and even deposit checks.

Traveling Mailbox operates on a tiered package plan, broken out by a specified number of mail scans (the front envelope), page scans (pages within an opened piece of mail) and recipients (people to whom mail can be sent at that address).

Additional scans can be purchased for both mail ($0.25/each) and pages ($0.50/each).

I don’t get tons of mail, so I personally use the Basic Plan – and I’ve never had to pay for extra scans only had to pay for extra scans once.

What I Enjoy About Traveling Mailbox

Traveling Mailbox has been in business since 2011 and I’ve been a customer since 2014.

I’ve watched as the company has improved and evolved over time and that’s given me good insight to write what I truly enjoy about the service in this Traveling Mailbox review.

First things first: I love the fact that Traveling Mailbox offers a nice mobile app .

This isn’t common among other virtual mailbox services and it boggles my mind! If it’s a digital mailbox, I need to be able to access it on my most important digital device…

…my phone and tablet!

Instead of emails, I opt to have the mobile app notify me each time I get a new piece of mail (it’s available on both iOS and Android). I can do pretty much anything from within the app: request to open and scan mail, forward mail, file it away, etc.

Essentially, I have an app for my email (Gmail) and an app for my physical mail (Traveling Mailbox).

There are a lot of features I don’t make use of, honestly. I don’t forward mail very often and I don’t receive many checks that need to be deposited. This review of Traveling Mailbox is based on my pretty basic use of the service.

Because I live in Asia, I want to receive and interact with physical mail from anywhere in the world. Also, for the sake of my business, I need a physical address that I can check.

What I Don’t Enjoy About Traveling Mailbox

Of course, not every service is perfect, and there is one thing I wish I could change about my Traveling Mailbox service.

You see, I chose a Dallas address for my virtual mailbox because that is where my company is located. It made sense and it worked well for what I needed.

The problem is that, like every virtual mailbox service, Traveling Mailbox does not have a sorting facility at every location where they offer an address .

In this case, their facility is in North Carolina, which means that anytime mail is sent to my Dallas address, it first arrives at the facility in Dallas where it is then forwarded to North Carolina to be scanned and sent to me.

This extra step means an extra couple days before I know that mail has even arrived. Usually this doesn’t matter much, but there have been cases where I know a piece of mail is supposed to arrive and I wait for an entire week before I get a notification.

To be fair, this is true of all virtual mailbox services, not just Traveling Mailbox.

The moral of this story is this: know where the sorting facility is . If you choose a different address, understand that there will be slight delays with your mail.

Traveling Mailbox vs The Competition

In the course of my research into the best virtual mailbox service , I also looked at plenty of other mailbox services: iPostal, Mailbox Forwarding, US Global Mail, Earth Class Mail, etc.

Other than price, there are a number of factors that make each of these services different. Check out this table or scroll further down for a deeper explanation.

  • Available Addresses: Some services (such as US Global Mail) only offer one address you can choose from. Others, like iPostal1, offer hundreds. Traveling Mailbox is somewhere in between. If you want an address in a specific state or city in the United States, Traveling Mailbox offers a respectable list of addresses to choose from. (although there’s a catch…see below)

  • How They Scan Mail: Some services have you pay per scan while others offer packages. If you get very little mail (i.e. 1-2 pieces per month), Traveling Mailbox might not be the best option. Virtual mailbox services seem to differ wildly on pricing, so find what works best for you.
  • Mobile Apps: As I’ve already said, I love using the mobile app for Traveling Mailbox. At the time of this publication, only 1Postal offers a competing app.
  • Mail Security: It’s not something you might think about at first, but there’s a security risk in allowing somebody else to handle and open your mail. Does the company monitor their sorting facility? Do they encrypt your scans? Shred your mail? Or better yet, do you have the option for 2-factor authentication for your account?

The majority of virtual mailbox companies offer most of these features, but in my research for this review of Traveling Mailbox, they’re the only one that ticked all the boxes.

Final Thoughts | Review of Traveling Mailbox

As a long time customer, it’s not rocket science to see why I recommend Traveling Mailbox as a good virtual address option . It would be pretty stupid of me to stay with a company that I don’t like.

Hopefully, though, you can see why it is that I’ve enjoyed using Traveling Mailbox and the things that separate them from the other virtual mailbox services.

It’s an easy and secure way to manage my physical mail from my computer or phone anywhere in the world.

Hey Wendy, thanks so much! Honestly, I haven’t run into a company or person that hasn’t accepted my virtual mailbox address. I’ve had companies question me and others verify that it’s not a P.O. box (many won’t send to a P.O. box), but other than that, it’s been great. My phone company, insurance company, and most tax documents are sent to my Traveling Mailbox address.

Hmm…I’m sad to hear that! I haven’t had that problem personally – scans usually take a couple hours at most for me, but I’m usually not that rushed to get them. I’m curious, what scan time would you find acceptable?

Hey Dan, this is a unique situation, to be sure. The idea of changing your address with all of these entities twice a year is a HUGE headache. I don’t believe the USPS would allow for a 3 month mail forwarding and I don’t think Traveling Mailbox would be able to function as a forwarded address.

However, if you’re going to be away for 6 months out of the year, it might be worth considering using Traveling Mailbox as your full-time mailbox. During the time you’re at “home”, you can just have TM forward the most important mail to you and you can trash/scan everything else. It seems like this might be the best option.

Traveling mailbox is not the biggest player in the virtual mailbox arena, however, the service has accumulated quite a following over recent years.

That being said, whether you are a small business owner looking for a virtual address, or maybe even an expat that requires a virtual mailbox service while away from home, is Traveling Mailbox the service to go for?

In this in-depth review, I have documented my experience of using Traveling Mailbox and all the services it provides over the last year, (update: 18 months now).

What is a Virtual Mailbox Service?

Before I dive into my report on Traveling Mailbox it makes sense to quickly provide an overview of what a virtual mailbox service does.

First and foremost, a virtual mailbox gives you a physical address that is removed from your home or work address.

This is where the service is especially useful for freelancers that do not want business mail sent to their home address, or travelers/expats that do not actually have access to their permanent address.

You can direct all your mail to the address provided by the service. In circumstances where mail has to be signed for, a service such as Traveling Mailbox has a person physically present who can do that for you.

(Power of attorney does need to be provided, however, I will cover how you can do that simply in a moment.)

What does a virtual mailbox service do?

Beyond providing you with a ‘virtual’ physical address where mail can be sent and signed for, a virtual mailbox is beneficial in many other ways too.

Mail Scanning Services

After the mail has arrived at the VMS, a provider such as Traveling Mailbox will alert you to its arrival by scanning an image of the mail/package and emailing you.

This will give you the option to do the following:

  • Have Traveling Mailbox open the letter, and scan/email all the contents to you
  • Forward the letter to a specified address
  • Shred and recycle the letter

In cases where important mail such as bills, banking correspondence, (cards and statements) packages or government papers (if you really want your tax return documents), the VMS will premium post said mail to your given address.

Other convenient services

Traveling Mailbox (and other VMS’s like it) offer additional services such as check deposits, faxing, and delivery of virtual mail and notifications to compatible app services such as Evernote (I’ll cover this in greater detail within the review below).

Traveling Mailbox Review – My Thoughts After a Year

I first started using Traveling Mailbox in preparation for a stint living in the U.K, (a trip I am still enjoying in fact).

I had used Earth Class Mail before, and while I had been happy with the service, I found the online interface a little too busy for my liking.

Anyway, with the one-way ticket booked, (I was following my girlfriend back to England) and all the various stresses of preparing for living abroad, I was pleased that the issue of handling my mail was very easy to set up.

Traveling Mailbox has been around for a long time and that is reflected in how their website is designed to give you what you need, without going for the hard sell.

I like this approach, and I really was up and running in minutes.

The package I went for provided the standard services any expat would ever need from a virtual mailbox service.

The virtual address of course, with fast mail forwarding to any address in the world, should you need the physical mail delivered to you.

The package also included post mail scanning, mail storage, secure document shredding as well as mail filtering (to exclude junk mail).

Another very useful part of the service as someone living abroad, (and wanted to avoid calling on family members to deal with certain issues) is the secure check deposit facility.

For someone looking to use Traveling Mailbox for business purposes, you have a choice of business addresses as the face of your enterprise.

Efficient Digital Access

One of the benefits of using Traveling Mailbox that has impressed me a lot is the speed in which your documents are made accessible in the digital domain.

There is very little lag between the time the mail arrives and the notification that a scanned copy now exists in your Traveling Mailbox dashboard,

These PDF scans can also be uploaded or downloaded from digital mail platforms such as your personal e-mails, the Evernote app, and other website portals of choice.

The service also provides bulk scanning of mail via a ScanPAK bundle, (handy for businesses) with individual envelope scanning being done by the QuickScan application.

A really cool feature and one that has helped me stay on top of my administration is that the scanned PDF documents are fully searchable.

The docs are processed through what is known as an OCR ( Optical character recognition ) software; finding what you need quickly is made very simple indeed.

A closer look at the interface (Desktop)

1 Log-On-Traveling-Mailbox

The main interface on a computer begins with a simple login screen (pictured above). It also contains a feed of the services’ latest tweets, a feature that is handy as it is another way of being informed of any updates or service interruptions. (You can set the mobile app to give you push notifications of these too).

Once you have signed up and have your login credentials you will be taken to the following screen once logged in, (click to enlarge).

This is where it all happens if you are controlling your mailbox from your laptop/computer. It is here that you can see scans of any incoming mail that has been received.

It is also here when you can request any action that needs to be taken. A simple scroll down menu provides you with the options of having the mail opened, shredded, and forwarded, etc.

The left sidebar menu allows you to arrange your inbox in a manner that suits you. You will also find options such as Requesting a ScanPax, mail a letter, faxes (does anyone send faxes any more? 🙂 ), and general account management.

The screenshot below is from the PDF2Email list. You can also have access to your forwarding addresses and change your preferences from this area of the dashboard.

The email address you use to signup will receive an alert after a scan has been sent to you. It is then just a case of login and choose what you want the service to do with it. What follows is a list of the available options.

  • Store for it for pickup at a later date

I have used every one of these options over the past year and each has been carried out quickly and efficiently.

It is worth noting that if mail forwarding is chosen, you need to create a shipment profile for that particular item.

Within your dashboard you can select how the item/s are packaged when they are to be shipped, and if shipping insurance/tracking should be purchased.

The Traveling Mailbox management platform also supports keyword tagging which makes keeping on top of things, (assuming you are diligent in creating the tags), nice and simple.

These services can be also be accessed using the TravelingMailbox app running on iOS or Android platforms.

Other features I like about Traveling Mailbox

The number one feature for me is that it is available on my mobile phone via a dedicated app. This is the way I nearly always access my mail, and being able to do it on the move, where ever I am is fantastic. I live a busy life here in London and this versatility is a real bonus.

The app notifies me when I receive a new piece of mail, so I know immediately without checking my emails. From there I can direct Traveling Mailbox on what to do with that mail (from the options in the box above).

The app is available for both Android and IOS, which is great as I know some competing services only provide Android compatibility (with other services not even having a dedicated app at all!)

This is a big thumbs up from me. I will admit that I am surprised to see that the IOS app has such a bad score in the IOS store (the app is free). At the time of writing, it has been voted one star from 2 reviews. This is not in line with my experience anyway.

Another feature I am a fan of is the fact Traveling Mailbox will send mail on your behalf. Just upload a PDF of the mail into your online mailbox and request it to be sent to an address of your choosing.

This is available no matter what type of plan you have. Extremely useful while living abroad, and you want mail sent within the US.

The secure check deposit facility is another great feature that I use from time to time.

I still have business interests in the US and when check payments need to be made, I can rely on Traveling Mailbox to facilitate that, (this is an additional cost above the subscription fee – currently $4.95 per check plus postage).

The great thing about this feature is that Traveling Mailbox supports all banks with its Check Deposit Service, (as long as your bank accepts checks for deposit by mail).

The turnaround time is often good too, with the check being at the bank within 24hrs of Traveling Mailbox receiving it. (That’s the fastest you’ll ever get though).

Overall, the ease of use and the way the service allows me to stay on top of mail and other issues back home is a big reason I am a happy, Traveling Mailbox customer.

What I don’t like about the service

Not every service is perfect, of course. If I didn’t include some of the things I didn’t like about Traveling mailbox, it wouldn’t be a fair review.

That being said, using the service as I do, (I don’t test the limits of what it offers on a regular basis), it is hard for me to find discernible faults.

Since my review has been published, some customers have left comments on a Vault50 article discussing the top 5 virtual mailbox services . A complaint has been made about how hard it is to get hold of someone if you run into problems.

Also, the fact the service doesn’t have a sorting facility at every location they offer an address can mean delays. This is because there is an extra step before your mail is processed and scanned for you to see it.

This doesn’t apply to me as the address I have used is directly connected to a main sorting facility, however, this is something to bear in mind. And if delays are an issue for you, choose an address with a sorting facility if you can, ( Traveling Mailbox can provide you details of these locations ).

The 3 Traveling Mailbox Monthly Plans

As I have already mentioned, I opted for the Basic plan however there are 2 other plans available; the Extended plan, and the Small Business plan.

All 3 plans come bundled with an online postal mailbox, mail forwarding services , and postal mail scanning.

The main difference between the plans is the amount of scanning and forwarding you can access on any given month, (you can always upgrade if your mail volume increases, however).

The Extended and Business come with the ScanPAK bundle and fax services.

When researching the best virtual mailbox service to go for, I also looked at some of the other players on the market: iPostal1 and Earth Class Mail to name but a few.

Because of the headache of comparing what each offers, I found myself scouring the websites, jotting things down so that I could see how each faired against the other.

Rather than throw my notes away, I have turned them into a handy comparison table…

Traveling Mailbox is an excellent choice for those looking for a safe and convenient mail management system while living abroad. I know this first hand. Having the stress taking out of what mail and packages are arriving back in the U.S is a real bonus.

If you are a small business owner and looking for a professional virtual address and a reliable service to manage your mail, Traveling Mailbox will most certainly fit the bill.

Essentially, the service is designed to allow users to have global access to their mailbox using a paperless platform. Traveling Mailbox nails it in this regard. Highly recommended indeed.

Authorizing Your Virtual Mail Service (U.S.)

Upon signing up with a VMS you will be asked to authorize the provider to legally open your mail.

The only way of doing this is via the USPS Form 1583 . While filling this out is easy, having it notarized can be very inconvenient especially if you are already abroad and wish to set up the service.

In steps online notarization now. If you cannot make it to a U.S. post office to have your 1583 form notarized, you can use an online notary service .

This will enable you to have your documents legally notarized by an official notary via your webcam.

This is an inexpensive way of setting everything up so that a service such as Traveling Mailbox can legally open your mail.

Q. Are Traveling Mailbox addresses PO Boxes or Physical Street Addresses?

I am pleased to say that Traveling Mailbox only uses real physical street addresses as part of their service.

Q. Will I be able to receive mail from FedEx and UPS through Traveling Mailbox

The answer is yes. Because Traveling mailbox provides physical street addresses you will be able to receive mail sent by any of the main carriers.

Q. Are accounts limited to just one name or business?

Not at all. Each plan has a certain number of recipients that can be included on the account, (see the pricing information covered in the review, or head here for more details ).

Q. Am I charged for each piece of mail scanned?

No, each plan has an allocated amount of scans included each month. There are no charges if you stay within that amount.

Q. How long does it take from the arrival of mail until it is scanned for me to view?

The mail first has to be sent to the nearest Traveling Mailbox sorting facility. From here the envelope is scanned and ready to view the very same day.

If you decide to have the contents opened and scanned, the request is normally completed within a few hours. Unless you opt for the QuickScan service, where the contents will be scanned and available within minutes of your request.

Q. Are there penalties if I go over the limits of my plan?

There are no penalties, but additional services over your allocated amount will be charged. For example, if you go over the amount of received mail included on your plan, it will cost $0.25 per extra envelope received.

If you go over the number of page scans included on your monthly plan, it costs $0.50 per additional page. The good news is, if you find yourself going over your plan limits on a regular basis, you can upgrade to a more comprehensive account at any time.

Q. Can I still receive mail through Traveling Mailbox that requires a signature?

Yes. A great part of the service is that any mail you receive that requires a signature, will be signed and made available within your account.

Q. How long does the mail forwarding service take?

If you request a piece of mail to be forwarded (either to you or another address) you can expect it to be sent the same day as along as you make the request before 3 pm EST. Of course, the time it takes to reach its destination is dependant on the forward address location, and the postage service you select.

Q. Can Traveling Mailbox mail documents to addresses on my behalf?

Yes! This is a very useful part of the service that I talk about in the review. No matter what plan you choose, you will have the ability to submit a PDF through your online mailbox. Traveling Mailbox will then mail out the document on your behalf.

A traveling mailbox is a wonderful service for frequent travelers or expats who need to be able to view their U.S. mail easily and securely. The traveling mailbox makes it simple to view your mail online and even respond to it, no matter where you are in the world. It doesn’t get much easier than that!

Simply follow these steps, and you’ll be ready to review your mail anywhere and everywhere:

  • Subscribe to Traveling Mailbox. When you subscribe, you receive a new postal address to which you can have all your mail sent, regardless of your physical location.
  • Send your mail to your new address by either providing your address to those who send you mail or filling out a change of address form through USPS.
  • When your mail arrives, Traveling Mailbox will scan the envelope’s outside and send you the image. From there, you decide what they do with it. They can open and scan the mail, forward the item to your physical location, or securely shred the mail. You decide, and Traveling Mailbox will execute your decision quickly and securely.

Ratings and Reviews

Service good, app improvement over previous versions - but still needs work.

The actual mailbox service is good. Quick scans, reasonable fees (compared to competitors), quick customer service. Also like the added touch of mailing out letters (it means little things like being able to print out a federal form, fill it out/sign electronically, and submit through the mail like so many federal applications require). App is a little more polished then previous versions and crashes less. However, still I find the website to be a much better experience on an iPhone. In the app you can’t add tags, or create folders. Also now way to submit letters for print and mail in the app.

Happy customer for two years

The app needs work that’s for sure. It’s not great. But I’ve been a happy customer of Traveling Mailbox for two years and it’s fantastic! Contrary to the negative review, the customer service is very good. They’re available instantly by chat. Also, the negative review mentions hidden fees. How can a few be hidden if it’s published in their fee schedule? That’s not a hidden fee, that’s a fee for a service. And after I compared their fees to about a dozen equivalent service providers I realized that each of these services has optimized their fee schedule for a specific customer in mind. Anyway, Traveling Mailbox is awesome. The app can use a lot more love but the underlying service is great.
