There can be some confusion for non-British individuals and families as to what document they can apply for if they wish to travel outside of the UK (and cannot get a passport from their birth country).

Let’s first discuss what types of documents exist.

At time of writing, there are four different types of travel documents that an individual can apply for, depending on which category they fall under.

This is shown in the table below.

Eligibility and Minimum Criteria

To be eligible for one of the above, you will need to be in the UK and to meet one of the criteria below:

  • you have permission to stay as a refugee or stateless person
  • you have humanitarian protection for a limited time after a failed asylum application
  • you have discretionary leave for a limited time after a failed asylum application
  • you’re settled here permanently (known as ‘indefinite leave to remain’)

You must show that you’ve formally applied for and been unreasonably refused a passport by authorities in your country, unless you have permission to be in the UK as a refugee or stateless person.

Fees payable to the Home Office

Assuming you were born after 1929, you will need to pay the following amounts for each document. This is a fee collected by the Home Office and must be paid upon application:

You will need to have received your biometric residence permit (BRP) which should be up to date. If you are applying for a one-way document (IS137), then you will not need to obtain a BRP.

Please note that some countries will not accept a travel document if there are less than 6 months left on the ‘leave to remain’ date. Please check with the relevant country to ensure you are able to travel.

Family applications to travel

If you are applying as a family, then you can send all the applications in one envelope and they will be dealt with at the same time. Bear in mind that you must include separate applications and there are no discounts for family applications.

If you live in the UK but aren't a British citizen and can't get a passport from your home country, you might be able to get travel documents from the British Home Office if you need to travel outside the country. Generally, you're only eligible for travel documents if you're staying in the UK as a refugee or stateless person, or if you're settled in the UK permanently (what the Home Office calls "indefinite leave to remain"). You can apply for travel documents online through the Home Office, but you have to mail the completed application along with supporting documentation. Choosing the Right Travel Document

Step 1 Apply for a 1951 UN Convention travel document if you are a refugee.

  • This travel document is typically valid for up to 10 years, depending on the validity of your biometric residence permit (BRP). You can travel to any country except your country of origin.

Step 2 Use a 1954 UN Convention travel document if you are

  • Stateless travel documents are usually valid for 10 years, although they might be issued with a shorter validity depending on your situation. You can typically travel to any and all countries.
  • You're only considered stateless if you are not recognized as a citizen of any country. Some refugees are stateless, but not all. If you're not sure if you've been officially recognized as stateless, you probably haven't. Fewer than 100 people in the UK have been recognized as stateless since the official determination procedure was started in 2014. [4] X Research source

Step 3 Try a Certificate of Travel (COT) if you aren't a refugee or stateless person.

  • To get this documentation, apply for a passport using your home country's usual process. When your application is denied, save the original letter you get back from your home country.
  • You also need to show why the denial was unreasonable. The Home Office considers a denial reasonable if, for example, you have a criminal record in your home country or did not provide enough evidence to confirm your identity.
  • If you are granted a COT, it will typically have 5 years of validity. You can travel to any country with this document except for your country of origin.

Step 4 Get a one-way travel document if you want to leave the UK permanently.

  • While you do need to provide documentation to confirm your identity, you don't need to apply for a BRP to use this type of travel document.
  • This document is issued to any non-British citizen in the UK who doesn't have a passport and wants to leave the country. It can only be used for one journey out of the country and is valid for a year, although it's generally intended to be used immediately. [7] X Research source
  • One-way travel documents are typically issued for travel to a specified country. If you have to travel through one country to get to your destination country, that country will also be listed on your document.

Filling out Your Application

Step 1 Visit the Visas and Immigration website to start your application.

  • After you provide your location, you'll be asked to select which type of travel document you want to apply for. If you're not sure, click on the question so see who qualifies for each type.

Tip: If you don't feel comfortable using a computer or do not have internet access, you can get help over the phone by calling 03333 445 675. This phone line is open Monday through Friday from 9:00 a.m. to 5:00 p.m.

Step 2 Enter your answers to the questions on the application.

  • If you're applying for a one-way travel document, your document will only be valid for travel to the country you specified. However, all other travel documents are typically valid for travel to any country, except your country of origin or the country from which you sought asylum.
  • If you're applying for a COT, you'll also need to discuss your process of applying for a passport from your country of origin and the reason your application for a passport was denied.

Tip: If members of your family are also applying for travel documents at the same time, you each have to apply online and pay your fees separately.

Step 3 Fill out the BRP portion of the application if you don't have a BRP.

  • The online application will ask you if you have a BRP. If you do, simply answer "yes." If you answer "no," the BRP application will come up for you to fill out.
  • You will have to provide a digital photo and digital fingerprints along with your signature for your BRP. You can get these done at any government service and support center or post office branch. As of January 2020, the fee is £19.20 for biometrics. Warning: If you already have a BRP but need to amend or replace it, you must do this before you apply for your travel document. You can't use the application included with the travel document application.

Step 4 Pay your application fees online to complete your application.

  • Refugee and stateless person's travel documents are £75 for adults, £49 for children under 15, and £0 if you were born before September 1, 1929.
  • One-way travel documents are £75 for all adults (regardless of age) and £49 for children under 15.
  • A COT is £280 for all adults (regardless of age) and £141 for children under 15.

Submitting Your Application

Step 1 Gather original documents to support your application.

  • If you're applying for a travel document as a refugee or stateless person, you'll need the British court order or certificate that shows you've been officially recognized as a refugee or stateless person, as well as your BRP.
  • If you're applying for a COT, you need documents that prove that you applied for a passport from your home country and that application was unreasonably denied. This might include a letter from your home country's immigration authority or a copy of your passport application. A COT typically requires the most documentation.

Tip: Make a photocopy of your BRP to send with your application — do not send your original BRP. All other documents must be originals.

Step 2 Get documents translated if they aren't in English.

  • There are many translation companies in the UK that offer professional translation services. You can find these companies with a quick internet search. You might also use the search engine provided by the Institute of Translation and Interpreting, a professional association of translators. Go to https://www.iti.org.uk/component/itisearch/?view=translators to find a translator who is a member of the association.

Step 3 Print your application and sign the declaration in black ink.

  • Your signature will be scanned and digitally included on your travel documents.
  • After you've signed your declaration page, make a photocopy of your entire application so you have it for your records.

Step 4 Email or fax evidence to support a priority request.

  • Scan the document and email it to [email protected] or fax it to 020 8196 0109.
  • You still must include the paper originals of any documents you fax or email in your package that you send to the Home Office.

Step 5 Send your package using Royal Mail Signed For service.

  • Send your documents to: Travel Documents Section UK Visas and Immigration Lunar House 40 Wellesley Road Croydon CR9 2BY
  • After verifying the information in your application, the Home Office returns documents that don't need to be kept with your application. If you want these documents returned to you by Special Delivery, include a prepaid Special Delivery envelope with your package.
  • If you realize after you've sent your package that you left out a document, don't send it separately. Instead, wait to hear back from the Home Office. They will send you a letter to request any documents that are missing from your application package.

Step 6 Wait for your travel document to arrive.

  • It typically takes 3 to 4 months for the Home Office to process an application for a travel document. [19] X Research source

A valid passport is usually required for international travel and serves as an important form of official identification that is recognised around the world. However, some people cannot obtain a passport whilst they are living in the United Kingdom for a variety of reasons, such as refugees and stateless people. These individuals may be eligible to apply for a Home Office Travel Document, allowing them to travel outside the UK.

In this guide, we explain what the UK travel document is, who is eligible, and how to apply. We’ll also answer some frequently asked questions from Home Office rravel document applicants.

What is a UK travel document?

A UK Travel Document, also known as a Home Office Travel Document, is an alternative form of identification that provides the ability to cross international borders for travel. Whilst it looks like a UK passport, it does not confer the same rights granted to British nationals. Rather, a UK Home Office Travel Document provides a mechanism to permit travel and serves as identification. Holders of UK Home Office Travel Documents must note that they cannot access visa-free international travel in the same way as British citizens and will be subject to the visa arrangements outlined for nationals of their country of origin.

Why is a UK travel document important?

UK Home Office Travel Documents are important as they provide the ability to travel to individuals currently in the United Kingdom who may otherwise incur difficulties obtaining a national passport. For some people, obtaining a national passport can be impossible due to factors such as war, civil unrest, or persecution in their country of nationality. Obtaining a UK Home Office Travel Document also provides a widely recognised form of identification that will be accepted within the United Kingdom for future immigration applications and in daily life.

Who needs a UK travel document?

You will need a UK Home Office Travel Document if you want to have a form of UK identification and seek to travel internationally. You can only apply for a UK Home Office Travel Document from within the United Kingdom. You cannot be a British citizen and you must not be able to obtain a passport from your country of nationality. One of the following must also be true:

  • You have Leave to Remain or Indefinite Leave to Remain (ILR) in the United Kingdom as a refugee
  • You have Leave to Remain or Indefinite Leave to Remain (ILR) in the United Kingdom as a stateless person
  • You have Leave to Remain or Indefinite Leave to Remain (ILR) in the United Kingdom as an individual with humanitarian protection status
  • You have Leave to Remain or Indefinite Leave to Remain (ILR) in the United Kingdom but cannot obtain a passport from your country of nationality

What are the different types of UK travel documents?

There are four different types of UK Home Office Travel Documents. You will need to apply for the correct type of UK Home Office Travel Document for your circumstances. These include the Refugee Travel Document, Stateless Person’s Travel Document, One-Way Travel Document, and Certificate of Travel.

Refugee Travel Document – This type of UK Home Office Travel Document is intended for people who have been granted refugee status in the United Kingdom as well as people who came to the United Kingdom via Family Reunion to join a family member who has refugee status. Refugees are eligible for UK Home Office Travel Documents as per the 1951 United Nations Convention Relating to the Status of Refugees and the 1967 Protocol Relating to the Status of Refugees. The Refugee Travel Document is valid for up to 5 years for individuals with Leave to Remain and expires in line with your immigration permission. If you have Indefinite Leave to Remain as a refugee, your Refugee Travel Document is valid for up to 10 years. If you are under the age of 15, your Refugee Travel Document is valid for up to 5 years. You can travel anywhere in the world on a Refugee Travel Document except for your country of nationality and/or any country you’ve sought asylum from. Please note that you will still be liable to apply for visa(s) before travelling internationally as you are not considered a UK national with this document. You will also need to be sure that the countries you travel to accept Refugee Travel Documents as a valid form of identification.

Stateless Person’s Travel Document

This type of UK Home Office Travel Document is intended for individuals who have been recognised by the UK Government as being stateless. Stateless persons are those who lack an officially recognised nationality from any country around the world and therefore are not eligible for the passport of any country. The Stateless Person’s Travel Document is valid for up to 5 years for individuals with Leave to Remain and expires in line with your immigration permission. If you have Indefinite Leave to Remain as a stateless person, your Stateless Person’s Travel Document is valid for up to 10 years. If you are under the age of 15, your Stateless Person’s Travel Document is valid for up to 5 years. You can generally travel anywhere in the world on a Stateless Person’s Travel Document issued by the UK Home Office. Please note that you will still be liable to apply for visa(s) before travelling internationally as you are not considered a UK national with this document. You will also need to be sure that the countries you travel to accept Stateless Person’s Travel Documents as a valid form of identification.

One-Way Travel Document

This type of UK Home Office Travel Document is intended for individuals who are not British, do not have a valid passport from their country of nationality, and seek to leave the United Kingdom permanently. It allows a one-way right of travel out of the United Kingdom to a country of destination. You will not be able to return to the United Kingdom on a One-Way Travel Document, so you will want to apply for a full passport once you leave the UK. The One-Way Travel Document is valid for 12 months from the date of issue. Please note that you will still be liable to apply for visa(s) before travelling internationally as you are not considered a UK national with this document. You will also need to be sure that the countries you travel to accept One-Way Travel Documents as a valid form of identification.

Certificate of Travel

This type of UK Home Office Travel Document is intended for individuals who fall under one of the following situations:

  • If you have Leave to Remain or Indefinite Leave to Remain and have been refused a passport by your country of nationality
  • If you have humanitarian protection status in the United Kingdom with officially recognised fear of the authorities from your country of nationality
  • If you are on a Family Reunion visa in the United Kingdom after joining your family member who has humanitarian protection status in the United Kingdom
  • If you were born in the United Kingdom to an individual who has refugee status in the UK but you have not been granted refugee status in your own right
  • If you have a critical reason to travel and cannot receive a passport from your country of nationality quickly enough
  • If you fall under any of the above situations, you may be eligible for a Certificate of Travel. If you are applying for a Certificate of Travel due to a critical and imminent need to travel, you will need to provide details about why you need to travel soon.

What is the application process like for a UK travel document?

The application process for a UK Travel Document is not complex, but you must ensure that you meet the requirements and eligibility criteria before beginning the online application form. If you do not meet all requirements and eligibility criteria for a UK Home Office Travel Document, your application will be refused. You will need to submit a separate Travel Document application for every individual in your family, if you are applying as a family unit.

First, you will need to select the Travel Document application form on the UK Home Office website. You will need to identify if you are inside or outside the United Kingdom and then select the type of Travel Document for which you seek to apply – One-Way Travel Document, Certificate of Travel, Stateless Person’s Travel Document, or Refugee Travel Document. You will then need to provide an email address to the Home Office and click through the email verification link.

Next, you will provide all required personal details for your Travel Document application such as the following:

  • Your email address
  • Your phone number
  • Your home address
  • Your sex and relationship status
  • Your country of nationality, date of birth, country of birth, and place of birth
  • Information about your current Biometric Residence Permit (BRP)
  • Your National Insurance Number (NIN)

You will also need to provide details about any criminal convictions, driving penalties, arrests, charges, cautions warnings, reprimands or other out-of-court penalties, civil court judgments, or civil penalties under UK immigration law that have been issued in the United Kingdom or any other country. You must also provide details if you have ever been involved in war crimes, crimes against humanity, genoide, terrorist activities, terrorist organisations, held terrorist views, or any other activities that would indicate you are not a person of good character. You must truthfully provide this information or face rejection of your application.

You will then provide details about your immigration and travel history, such as the length of time you have lived in the United Kingdom, any Home Office reference numbers you have been issued, past immigration applications in the UK and abroad. You will also need to provide details about places you plan to travel once you receive your new UK Home Office Travel Document, if you have these details.

Finally, you will need to consent to provide supporting documents. You will be required to send two passport-sized photographs in the post with your name and date of birth written on the back of each photograph. You will also need to send any previous Travel Documents to the Home Office before they will issue your new Travel Document. You will then confirm all information on the Travel Document application and pay the relevant application fee. Once you have paid the application fee, your online application form is complete. You should download and print the Document Checklist to send with your supporting documents in the post.

After you have submitted the online Travel Document application form, you will need to collect all supporting documents. At minimum, you will be required to send two passport-sized photographs and your Document Checklist. If you are submitting an application on behalf of a minor, you will need to provide a consent letter declaring that you agree to apply for your child’s Travel Document. You may be asked to provide additional documents depending on your circumstances, such as:

  • Your Leave to Remain grant letter
  • Any current or expired Home Office Travel Documents
  • Any current or expired national passports
  • Any current or expired foreign national identity cards

The Document Checklist will identify if you need to send original copies of these documents or if you can send copies of these documents. If any of these documents are not originally in English, Welsh, or Scottish Gaelic, you will need to include a certified translation alongside the original language.

How much does it cost to apply for a UK travel document?

The cost of your new UK Home Office Travel Document will depend on the type of Travel Document you require and how old you are. Here are the associated costs for the four types of UK Home Office Travel Documents:

You will need to pay the full Travel Document fee at the end of the online application form. If you do not pay the associated fee for your Travel Document, your application will be considered null and void.

How long does it take to receive a decision on my UK travel document application?

Once you have submitted the online application form for a UK Home Office Travel Document and submitted your two passport-size photographs in the post, you will need to wait for your Travel Document to process. Typically, you could wait 3 months to receive your new Travel Document to arrive. However, due to delays caused by the COVID-19 pandemic, the Home Office advises that it could take up to 6 months for your new Travel Document to arrive. As such, the Home Office strongly advises that you should not plan or book any travel arrangements until you have received your new UK Travel Document.

Are you in the United States in refugee or asylum status?

If so, you will need a refugee travel document to travel outside of the United States. A refugee travel document is a small booklet, similar to a passport, and is necessary to travel if you are a refugee or asylee. Without a refugee travel document, you may be unable to reenter the United States, or you may potentially face removal proceedings.

1. Refugee Travel Document Processing Time

There are 4 main steps throughout the process of getting a refugee travel document.

  • Issuance of USCIS Receipt Notice
  • Issuance of Biometrics Appointment Notice
  • Actual Biometrics Appointment Date
  • Issuance of Actual Refugee Travel Document

1. Issuance of USCIS Receipt Notice (1 to 3 Weeks from Filing)

The first step in getting a refugee travel document is to file Form I-131 with United States Citizenship and Immigration Services (USCIS). The Form I-131 is the Application for Travel Document. Once this form is filed, USCIS will mail you a receipt notice. The receipt notice is the confirmation that USCIS has received your case. This notice will also have a unique receipt number which can be used to track your case through the USCIS case status tracker . The USCIS receipt notice should come in the mail within 1 to 3 weeks of filing your Form I-131.

2. Issuance of Biometrics Appointment Notice (4-6 Weeks from Filing)

To get a refugee travel document, you must attend a mandatory biometrics appointment. At the biometrics appointment, your digital fingerprints are taken. Before your biometrics appointment, you are sent a biometrics appointment notice. This notice typically comes about 6 weeks from the time you file your refugee travel document application. The biometrics appointment notice specifies the time and date of the biometrics appointment. The appointment notice also includes important information about what you are required to bring with you to the biometrics appointment and how to reschedule the appointment if necessary.

3. Actual Biometrics Appointment Date (6-8 Weeks from Filing)

The actual biometrics appointment usually takes place about 8 weeks from the time the I-131 is filed with USCIS. Make sure to attend the correct USCIS Application Support Center as listed on the appointment notice. In addition, make sure to bring a valid form of identification such as a Driver’s License or passport.

4. Issuance of Actual Refugee Travel Document (2 to 5 Months from Filing)

Your actual refugee travel document should be issued within about 2 to 5 months from filing your Form I-131. You may request that the actual document be sent to your U.S. address, your attorneys address (if you choose to work with an attorney), or to a U.S. consulate or embassy abroad.

2. How to Overcome Timing Issues

The Major Timing Issue: Physical Presence Requirement

As a refugee or asylee in the United States, you should ideally be physically present in the United States when your refugee travel document application is filed with USCIS.

You are still eligible to apply for a refugee travel document if you are outside of the United States, assuming your departure from the U.S. was less than a year before the application was filed. However, if you are outside of the U.S. when the application is filed, the USCIS director with jurisdiction over your case has discretion over whether to approve or deny your case.

For this reason, it is best practice to remain in the United States until you receive your refugee travel document. However, many people have an urgent need to leave the United States and cannot wait 2 to 5 months for the refugee travel document to be produced.

Now let’s discuss some potential solutions.

Leaving After the Biometrics Appointment

If you cannot remain in the United States until the actual refugee travel document is produced, one option is to leave after attending your biometrics appointment. On the application for refugee travel document, you can request that the document be sent to a U.S. embassy or consulate abroad. The biometrics appointment is typically scheduled to take place roughly 8 weeks after filing the refugee travel document application. This would considerably shorten the amount of time you are required to remain in the United States.

Expedited Processing

Another potential option is to request expedited processing of your refugee travel document application. In certain cases, USCIS will grant expedited processing of a case. Here is a link to the reasons why USCIS may grant expedited processing of a case.

Some reasons USCIS may expedite a case are as follows:

  • Emergency situation
  • USCIS error
  • Severe financial loss to person or company
  • Compelling interest of USCIS
  • Humanitarian reason

In some cases, you may be eligible to apply for a refugee travel document while you are outside of the United States. To be eligible to apply for a refugee travel document while you are outside of the U.S. you must apply within 1 year of your last departure from the U.S. You will have to include an explanation as to why you left the U.S. without first applying for a refugee travel document. The USCIS official with jurisdiction over your case will have the discretion to approve or deny your application.

3. What to Avoid: Travel to Your Country of Claimed Persecution

As someone with refugee or asylum status in the United States, traveling back to your country of claimed prosecution can have severe consequences to your immigration status in the United States. Such travel may be seen as a demonstration that your fear of persecution from that country is not genuine. In addition, such travel may be interpreted as a demonstration that you have voluntarily availed yourself to the protection of that country.

Which respect to the country from which you are a refugee or asylee, the I-131 requires you to answer the following questions:

  • Do you plan to travel to the country from which you are a refugee or asylee?
  • Since you were accorded refugee or asylee status, have you ever returned to the country from which you are a refugee or asylee?

Answering yes to either of these questions requires a written explanation along with your application and can be harmful to your chances of approval for a refugee travel document.

The length of time it takes for your application to be processed can be an important factor in deciding when to apply and when to make travel arrangements. But UK visa processing times vary considerably, depending on factors such as the type of visa being applied for, the country or Embassy where the application is made and the applicant’s own individual circumstances and eligibility.

Visa applicants are advised to take guidance on the current processing timescales for their specific type of application.

UK visa processing times

UK Visas and Immigration (UKVI) is the Home Office department responsible for the UK’s visa system.

The processing date is typically counted from when the applicant has attended their visa appointment and submitted their biometric information, or as soon as ID checks have been completed and the application is submitted using UKVI’s visa processing app.

Processing times for in-country applications are as follows (correct as at the date of publishing):

Priority & fast-track services

Priority service and super priority services for applications being made from outside the UK are available for work, business and family visa routes.

Where available, priority processing allows applicants for certain work and settlement routes such as the Skilled Worker visa to pay an additional fee for fast-tracked processing. Priority processing provides a decision within 5 working days, while super-priority is for a decision by the end of the next working day

Priority processing is only available to certain applicants, notably those proving their identity by attending an appointment at a UKVCAS centre or those using the ‘UK Immigration: ID Check’ app . If available to you, you will be notified when making your application and given the option to purchase faster processing.

The fees for priority and super-priority processing are as follows:

Priority processing times for Certificate of Sponsorship requests & Changes of Circumstances

Priority processing remains available to A’ rated sponsors for fast-tracked CoS allocation and other Change of Circumstances requests, for a fee of £200 per application. The priority requests are generally processed within 5 working days.

What is the difference between UKVCAS and Home Office processing?

One factor that may affect the UK visa processing time is whether the application has to be made through UKVCAS .

UKVCAS (UK Visa and Citizenship Application Service) was introduced in November 2018 to handle certain UK visa, settlement and citizenship applications made be applicants already in the UK.

You will be advised when making your application if you must go through UKVCAS in order for your application to be processed.

How might the time of year and other factors affect your UK visa processing time?

There are other factors that may affect the processing time of your UK visa application. These include:

Where you apply from The country that you apply for your UK visa from may affect the processing time for several reasons, including the relationship and arrangements between the UK and your country, the administrative systems within each country, current conditions within either country, endorsing documents from your country or finding their equivalent in the UK, whether that country is part of the EEA and so on.

Insufficient or incorrect information If your application includes incorrect information or the documentation you supply is insufficient, the processing time may be longer than expected if UKVI suspend processing to request further information from you in order to make a decision.

The best way to avoid this is to check your application thoroughly and ensure that you have all the necessary documentation to hand before you apply.

What are the different types of UK visa applications?

The type of UK visa that you apply for will be the main deciding factor in how long it takes to process your UK visa application. The UK visa that you choose will depend on your reason for visiting the UK and how long you wish to stay.

Work in the UK

There are many types of short-term and long-term work visas including:

  • Skilled worker visa
  • Temporary worker visas
  • Global Business Mobility visas
  • Domestic workers in a private household visas
  • Sportsperson visa
  • Graduate route
  • High Potential Individual visa
  • Global Talent visa
  • Scale up visa
  • Innovator Founder visa

Each type of visa will carry its own eligibility, conditions and application requirements.

The Skilled Worker visa , for instance, is open to non-UK residents with a job offer from a licensed sponsor for skilled employment in the UK.

The processing time for the Skilled Worker visa is generally no longer than 3 weeks once the applicant has attended their appointment.

Holiday, family visit or business trip

The Standard Visitor visa is generally suitable for tourism, holidays, visiting and to receive short-term medical treatment. It replaces:

  • Business visitor and prospective entrepreneur visas
  • Family visitor visa
  • Child visitor visa
  • Sports and entertainer visitor visas
  • Private medical treatment visitor visa
  • Approved destination status visa
  • General visitor visa

Under the standard visitor visa, you can usually stay in the UK for up to 6 months.

Your application for a Standard Visitor visa should be made no earlier than 3 months before you intend to enter the UK, and it will generally take no more than 3 weeks for the visa application to be processed and a decision made after your appointment.

Under current processing times, visitor visa applications from outside the UK are taking six weeks instead of the usual three.

Studying in the UK

Should you wish to study in the UK, there are 3 visas available for this purpose, depending on your individual situation:

  • A short-term study visa is suitable for a 6 month stay in the UK to attend a course. For students over 16 who wish to attend an English language course, it may be possible to use a Short-term study visa for a stay of up to 11 months.
  • A general study visa is suitable for a longer course of study in the UK as long as the student has a confirmed place on a course and is sponsored by a licensed university or college.
  • 4 to 17 years old wishing to study at an independent school should apply for a child student visa .

Apply for the appropriate student visa no earlier than 3 months before you intend to enter the UK. Once you have attended your appointment, it will generally take no more than 3 weeks to receive a decision.

Entrepreneurs & investors

The primary route for people coming to the UK to set up or run a business is the Innovator Founder visa.  While no up-front investment is required under this route, there are many eligibility criteria that will need to be satisfied by both the applicant and the business. Endorsement will also be required before the visa application can be made.

Processing for business visas can take longer than other categories due to the complexity of the application documentation and evidence. Again, the earliest you can apply is 3 months before you travel.

Joining family in the UK

The Family visa will generally allow you to join certain family members who already live in the UK if you wish to remain in the country for more than 6 months, such as spouses. You may also consider a dependant visa .

If the visa application is made from outside the UK, the processing time will generally take up to 24 weeks.

To get married in the UK

If you intend to visit the UK to get married, you should generally apply for a Marriage Visitor visa . This visa is also suitable for civil partnership ceremonies in the UK.

This visa doesn’t allow you to remain or settle in the UK after the marriage or civil partnership ceremony.

Processing, once an appointment has been attended, should ordinarily take no more than 3 weeks.

Travelling through the UK

There are two types of Transit visa . If you will be passing through UK border control and staying in the UK no more than 48 hours, then you should apply for a Visitor in Transit visa. If you will not pass through UK border control, then you should apply for a Direct Airside Transit visa.

If you will be staying in the UK for longer than 48 hours, it will be necessary to apply for a Standard Visitor visa.

Schengen visa

Citizens of some non-EU countries are required to hold a valid Schengen visa when travelling to the Schengen area, which is a group of European countries that allows a person, who’s been admitted to the Schengen Area, to travel without any further form of border control within the Schengen Area.

Current Schengen States are: Austria, Belgium, Czech Republic, Denmark, Estonia, Finland, France, Germany, Greece, Hungary, Iceland, Italy, Latvia, Liechtenstein, Lithuania, Luxembourg, the Netherlands, Malta, Norway, Poland, Portugal, Slovakia, Slovenia, Spain, Sweden and Switzerland.

A Schengen visa is a short stay visa , i.e. for stays up to 90 days, allowing its holder to circulate in the Schengen Area.

A Schengen visa has to be obtained from the Mission of the Schengen State, which will be the main destination (i.e. where the most nights will be spent) during a single trip to the Schengen Area.

A single trip is considered when a customer enters the Schengen Area, stays there for a certain period and eventually leaves the Schengen Area.

If an equal amount of nights will be spent in different Schengen States during a single trip to the Schengen Area, then the Schengen visa must be obtained with the Mission of the Schengen State, which will be entered first.

The documentation related to the means of travel and accommodation must cover the complete itinerary of the single trip to the Schengen Area ; i.e. travel tickets must be provided, not only for the travel from and to the Schengen Area, but also for the travel between the different Schengen States, when more than 1 Schengen State will be visited during the single trip.

Each Schengen visa application must fully comply with the documents required for the respective visa category and can only be submitted up to 6 months before the intended departure date.

The acceptance of a Schengen visa application and supporting documents by VFS does not guarantee the issuance of a Schengen visa.

The issuance of a Schengen visa, the Schengen visa validity period, the number of entries and amount of travel days are at the sole discretion of the Mission.

If a visa application is returned by the Mission requesting missing documents or any other missing/ incorrect information, the customer must accept responsibility for any delay that may occur in the visa application processing time.

Holders of valid Schengen visas are still subject to immigration control upon arrival in the Schengen Area and are not necessarily guaranteed entry into any of the Schengen countries, even though they may hold a valid Schengen visa for these countries.

Following visa categories are considered Short stay visas:

Visitor Family/Friends

Business/officials, eea/eu and swiss national family member.

Every customer, including children/infants, has to submit his/her Schengen visa application in person and by appointment only on their appointment date, which needs to be booked online.

For Non-EU citizens who are not sure whether a Schengen visa is required to travel to the Schengen Area, please click Do I need a visa? to find out. Please note that holders of UK Travel Documents issued under the directives of United Nations Convention 28 July 1951(blue covered travel document) and Convention 28 Sept 1954( red covered travel document) will need a visa to enter Sweden.

Customer who intend to travel purely for tourist purposes, i.e. visiting for leisure, recreation or sightseeing, and provide for their own accommodation (hotel, hostel, B&B, camping, …) need to apply as Tourist.

Eligibility

Customer must at least meet the following criteria in order to be eligible to submit a Schengen visa application:

  • holding a valid passport/travel document
  • holding a valid UK residence permit. In case applicant holds a short stay visa for the UK, a C type visa (see example here ), then customer may apply for a Schengen visa as long as the customer couldn’t apply from the country of residence since he/she has already left the residence country more than 6 months ago
  • applying for a short stay visa: Tourist (including Minors), Visitor Family/Friends, Business, EEA/EU and Swiss national family member or Airport Transit

On October 7, 2021 the European Commission decided to temporarily suspend some of the provision of the Visa Code for citizens of Gambia. As of November 1, citizens of Gambia will not be able to be exempted of any of the document requirements. The application process will take 45 days instead of 15 days. Will not be able to receive multiple entry visas, diplomats or holders of service passport will not be exempted of the application fee.

Applicable visa fee, in Pound Sterling (£), is as per the current exchange rate and may be subject to change without notice.

VFS service fee of 20 EURO (inclusive of VAT) is charged per visa application, in addition to the applicable visa fee.

All fees can be paid by cash (except in Edinburgh), Credit/Debit card.

Cheque payments and direct bank transfers are not accepted.

All fees are non-refundable.

The list of documents below is not an exhaustive list of documents and the customer can always be asked to provide additional information/documents if requested by Sweden Migration Agency.

Both the standard and the supporting documentation have to be recent, i.e. not older than 1 month, and it is mandatory to be provided for every Schengen visa application.

Before gathering the required documents mentioned below, applicants are advised to read the requirements under Overview section to ensure they are entitled to apply for the chosen visa category.

For Minors, please click here . Note, minors must provide documents both for the category they are applying for (sports, family visit etcetera) and for minors category.

Signed passport, at least 2 blank pages for visa purposes, must be valid for at least 90 days beyond the return date of the trip to the Schengen Area and has to be issued within the last 10 years on the day of leaving the Schengen Area.

Extended passport may still be valid, but a passport older than 10 years, i.e. date of issuance is more than 10 years back, on the return date of the trip to the Schengen Area is no longer acceptable; in that case customer first needs to apply for a new passport.

UK Residence permit, endorsed in the passport or issued as a Biometrics card, must be valid for at least one month beyond the return date of the trip to the Schengen Area; C type visitor visa (see here ) is only acceptable, if the customer couldn’t apply from the country of residence since he/she has already left the residence country and resides consecutively more than 6 months in the UK.

  • Proof of current occupation

a. Employer letter (original): recent (less than 1 month old), signed , headed letter references from your employer, which must include company registration number in the UK, contact details, address, date of issue, position and salary of the employment should also be indicated. In addition, you must include your last three payslips

b. Student letter (original): recent (less than 1 month old), signed , UK school/college/university letter (addressed to the Mission, name and position of the signee and confirming customers enrolment, type of studies, completion date, number of lessons (hours) per week and attendance record)

c. Self- employment letter (original): recent (less than 1 month old), signed, headed letter (addressed to the Mission, name and position of the signee and confirming customers self-employment) and obtained from (if applicable): The letter must also state the annual salary drawn from the company.

i. customers accountant: when customers company’s accountancy is done by an external/independent accountant

ii. solicitor: when customers company has been registered by a solicitor.

iii. bank manager: when customers company has a business bank account.

iv. Companies House: Certificate of Incorporation received upon registering business: if customers name is not mentioned on certificate, then additional proof demonstrating connection customer – company should be provided.

d. Unemployed/retired

  • Receiving Benefits: recent original letter obtained from local Jobcentre or Pension Service.
  • Housewife/man (only applicable to spouses/partners): customers may be sponsored by their spouse/registered partner; in these cases the following needs to be provided:

a. Marriage certificate (original + copy): when this document was issued outside the EU and is not in English or Swedish, then it should be translated by a certified translator in the UK.

b. spouse/registered partner’s passport (copy)

c. spouse/registered partner’s proof of occupation (as in B.1.a, b or c)

d. spouse/registered partner’s proof of funds

e. spouse/registered partner’s cover letter (signed & dated) confirming sponsorship

  • Proof of funds

a. Latest 3 months UK current account bank statements showing applicant’s name, address and an end balance dated within the last month on the visa application submission date; balance needs to show a minimum amount of £ 40.00./day of stay in the Schengen Area + outstanding accommodation and travel fees.

b. Travellers’ cheques covering the same amount as explained under a.

c. Credit card(s) and credit card statement showing the cardholder’s name and address. The statement must obtain information of the monthly limit or the sending cap.

  • Proof of travel (airplane, train, boat, coach, (hired) car)

a. Confirmed return travel tickets: mentioning customers name and travel dates to & from the Schengen Area. Please note: Flight tickets to be issued from airlines company only and not from the travel agencies.

b. When travelling by car: car registration, car insurance, return travel tickets (ferry or Eurotunnel) mentioning the car’s registration number and driver’s driving licence. If the customer is not the driver, then driver’s cover letter (signed & dated) confirming joint travel with customer and travel dates need to be provided too.

Confirmed accommodation (hotel, hostel, camping,…) reservation mentioning customers name, travel dates and accommodation address details.

If the customers name is not mentioned on the accommodation reservation, then a joint travel confirmation letter, signed and dated by the person whose name is on the reservation, must also be provided along with a photocopy of that same person’s passport/ID card + passport signature page, if signature is not on passport’s bio page.

When accommodation is reserved for a group, then a list with the names of the group members will also be required; alternatively the group members their names may also be mentioned on the travel ticket.

The travel insurance – clearly showing the customers name - has to be valid throughout the complete territory of the Schengen Area and must cover the entire period of the applicant’s intended stay in the Schengen Area; the minimum coverage for medical emergency and repatriation (in case of death clause included) must be at least 30.000 €.

Please provide one recent colour photograph (not more than 6 months old) of yourself, meeting the following requirements:

  • Taken against a light (white or off-white) background so that features are distinguishable and contrast against the background.
  • Clear quality and with the face in focus
  • Full face: non-smiling, no sunglasses, no hat/cap or any head covering, unless the customer wears such items because of his/her religious belief or ethnic background
  • Printed on normal photographic paper (camera print)
  • Photograph attached (glued) to the Visa Application Form

If the photographs presented do not meet these requirements (see examples here ), then the visa application will be considered incomplete and the customer will be asked to take new photographs in the photo booth in the visa application centre.

Every customer can submit his/her Schengen visa application up to 6 months before the intended travel date to the Schengen Area.

As per the COUNCIL DECISION (EU) 2022/333 holders of Russian diplomatic passport need a visa to enter the EU. The general procedure time (15 days) applies to holders of Russian diplomatic passport and Russian business people and representatives of business organisations.

General processing information:

The minimum processing time of a visa application is 15 days , customers are advised to leave enough time - between the appointment date and travel date - for the Sweden Migration Agency to process their visa application; no guarantees can be given on the visa application’s actual return date as delays may occur.

For certain nationalities ( see list here ) the visa application needs consultation from the other Schengen countries and therefore the processing time can take longer.

In order to avoid any delays in the visa application process, it is paramount that the visa application is complete and its documents submitted are as per the responsible Sweden Migration Agency requirements (see Documents Required for the different visa categories).

Customers also need to be aware that, especially during the busy season around Easter, the summer holidays (July and August), and Christmas, the handling time might be affected.

Furthermore, customers need to consider that VFS/Swedish Migration Agency closures and holidays (see Public Holidays/Closures ) may extend the visa application processing time.

Therefore, VFS recommends all customers:

  • Submit their application at the earliest so that they can get an appointment at VFS centre
  • to ensure that their visa application’s documentation meets the Sweden Migration Agency’s requirements
  • to leave enough processing time for the Sweden Migration Agency

Customers submitting their visa application in our satellite centre in Edinburgh need to calculate 2 extra days to their minimum processing time as their visa application will first be dispatched to the VFS London office, from where it is forwarded to Sweden Migration Agency- Stockholm the following day.

The Sweden Migration Agency may always request additional information/documents or invite customers for an interview during the visa application process and this may cause delays in the visa process, which customers accept the responsibility for, this is in accordance to the Visa code.

For Sweden every customer needs to

  • Your Sweden application should be submitted using the Sweden e-application portal .
  • Please ensure that you upload all mandatory supporting documents on your visa application.
  • You will be requested to download, sign, and re-upload the visa application form after successful verification of your application on the Sweden E-application portal.
  • Please note that the responsibility to upload the correct, and a good-quality scan for the requested document is on the customer.
  • You will have to arrive at the centre on your date of appointment with your passport/travel document to submit your biometrics.

Invitation form if staying with someone in Sweden:

If you are hosted by a person in Sweden, the inviter must fill in the Invitation form and sign in section 9 of the form.

The inviting person’s passport copy or Swedish ID, to be provided. If the host is a non-EU citizen, then this information must also be provided with the form.

If the host is supporting the customer while in Sweden, then 3 months wage slips and 3 months bank statement are required from the host.

Every Customer, including children/infants, has to submit his/her Schengen visa application in person and by appointment only on their appointment date, which needs to be booked online (see Schedule an Appointment ) by the Customer.

Please note that holders of UK Travel Documents issued under the directives of United Nations Convention 28 July 1951(blue covered travel document) and Convention 28 Sept 1954( red covered travel document) will need a visa to enter Sweden.

Customers, who intend to travel for business purposes, i.e. visiting a business/company to have meetings, to make business deals, to recruit, to train or other work related activities can apply as Business.

Every Business visa application has to be confirmed by an invitation letter from a business/company based in Sweden, if not, Customer will need to apply as Tourist .

In regards to conference/seminar/workshop the following Customers can also apply for a Business visa:

  • Customers-employees going to attend a conference/seminar/workshop organised by their company or another company directly related to their company
  • Customers-employees going to be actively involved in a conference/seminar/workshop
  • Students going to attend a conference/seminar/workshop related to their studies

Employer letter needs to confirm clearly the purpose of attending the conference/seminar/workshop, if not, Customer will need to apply as Tourist .

  • holding a valid UK residence permit. In case Customer holds a short stay visa for the UK, a C type visa (see example here ), then Customer may apply for a Schengen visa as long as the Customer couldn’t apply from the country of residence since he/she has already left the residence country more than 6 months ago

Important Notice: Non-EU family members of EU citizens living in UK:

  • Holders of a Residence Permit based on a UK, EU/EEA national nad travelling with the UK, EU/EEA national or alone needs a visa. Full documentations according to the Visa Code required. Visa fee required. Please have a look under the Tourist or Visitor Family/Friends for the required documents.

The list of documents below is not an exhaustive list of documents and the customer can always be asked to provide additional information/documents if requested by Sweden Migration Agency

Minors are Customers who haven’t reached the age of 18 years when submitting a Schengen visa application (Tourist, Visitor Family/Friends, EEA/EU and Swiss national family member or Airport Transit).

Therefore each minor MUST provide the following additional documents:

  • Child’s unabridged/full birth certificate showing both biological parents their names
  • Written consent (signed and dated) of mother and father mentioned on the child’s birth certificate
  • Copy of both parents their passports’ Bio page and signature page, if signature is not on Bio page
  • In case the parents are divorced or one of the parents has deceased, then respectively the court order confirming one parent’s sole custody or the deceased parent’s death certificate.
  • In case a guardian has been appointed by the parents, then the guardianship letter and the guardian’s passport’s Bio page and signature page, if signature is not on Bio page

Due to European legislation regarding protection of children/minors, it has to be emphasised that Minors, who are not providing all the required documents, may not be granted a Schengen visa.

Applicable visa fee for minors varies in 3 age groups:

  • Minors under 6 years old: Gratis
  • Minors 6 years old but just not 12 years old: Reduced visa fee
  • Minors 12 years old and more: Full visa fee

Airport -transit, Lorry drivers, Seafarers

Every Customer has to submit his/her Schengen visa application in person and by appointment only on their appointment date, which needs to be booked online (see Schedule an Appointment ) by the Customer.

Customers, travelling by plane to a destination outside the Schengen Area, may make a stopover in the Schengen Area. During the stopover they may disembark the aircraft and then stay for a certain time in the airport’s transit zone (without going through Immigration Control).

Certain nationalities (Afghanistan, Bangladesh, Democratic Republic of Congo, Eritrea, Ethiopia, Ghana, Iran, Iraq, Nigeria, Pakistan, Somalia and Sri Lanka) have to apply for an airport transit visa in order to be allowed to make such an airport transit.

  • Holders of a valid uniform visa, national long-stay visa or residence permit issued by a Member State
  • Fill out and submit the visa application on the Sweden E-application portal .

You are not required to book any travel before you apply or before a decision is made on your application.

You should allow enough time before you make a visa application. You will only receive a refund of your application fee if we have not started to process your application.

You may be able to pay for a faster decision on a visa application.

When your application processing time starts

UK Visas and Immigration (UKVI) starts processing your application once you either:

verify your identity and submit your documents and application using the UK Immigration: ID Check app . We’ll tell you if you can use this

attend your appointment at a UK Visa and Citizenship Application Service (UKVCAS) centre or a Service and Support Centre (SSC) to provide your fingerprints and a photograph (biometric information)

When your application processing time ends

You’ll get a letter or email to let you know that a decision has been made on your application.

You can stay in the UK until you’ve been given a decision, as long as you applied before your last visa expired.

You do not need to contact UKVI to track your application if you’ve already made a visa application and it is still within the current processing times.

When you might wait longer

Your visa application may take longer to process, for example:

  • the information in your application is not accurate or requires further consideration
  • you need to provide further evidence, for example evidence of funds
  • your supporting documents need to be verified
  • you need to attend an interview
  • further information is required on your personal circumstances (for example if you have a criminal conviction)
  • UKVI is experiencing increased visa demand

You will be contacted by a letter or email if we need more information on your visa application.
