The Stylebook app is maybe the most fun I’ve ever had planning what to pack. It’s “Looks” function feeds the Packing List so you always know how many pieces you’re packing. Easy to use and really allows you to see how many different ways you can use each piece in your “Closet”. I may even start using it for my “real life” what-to-wear daily crisis 🙂 Thanks for the suggestion!

There is a free iPhone app called Stylicious that allows you to take photos of your wardrobe & build your outfits, travel plan, etc. I haven’t used it yet, but will let you know when I do.

Vacation Outfit Planner: Free Downloadable + Editable Outfit Planner

As a frequent traveler, I’ve spent a lot of time thinking about what to pack for every type of trip. One of the (sometimes) fun parts of that is choosing outfits for your trip! However, I sometimes found I was forgetting an outfit for a special activity on my vacation or for a particular day, so I created this vacation outfit planner

Planning your outfits for a vacation shouldn’t be stressful. Let’s make it a little bit more fun to plan your vacation with these tips for planning your vacation outfits and a downloadable vacation outfit planner.

How to use this Vacation Outfit Planner

Once downloaded, this vacation outfit planner is a PDF that comes with the ability to edit and fill everything in online. You can also print it out and write things down or cross them off as you go!

This option means you can also utilize it to upload photos to it of your outfits if you’d prefer that over writing things in ( here’s 3 ways to do it )! I know that I keep everything digital these days so I make all my free downloadables have the ability to be edited on your laptop or phone.

I’ve created a few different optional planning pages, one with days listed and one is blank to fill in activities. I created both because the option you choose will depend on what makes the most sense for you and your trip.

One option has the days all listed out and boxes for each piece. The other has a space for you to fill in the activity and then boxes for each piece to wear. Examples are below.

Both have their pros and cons depending on what type of trip you are going on; I find that I like to use both options for different types of trips, so I made them both!

For example, you may be going on a cruise with water activities/ day trips , then dinners in the evening. You’d want an activities planner page for that. On a trip to Europe in winter , though, you probably will wear the same warm outfit all day long and might want to plan each day instead!

Delete or ignore the pages you don’t need. You can also duplicate them if it’s a longer trip.

The last page is a packing list for you. Once you’ve planned out your outfits, you can use this page to create your packing list! I have several resources and packing lists in my travel tips (and as PDFs for subscribers) if you’re interested in that as well.

The packing list page has categories of items in addition to outfits so you can be sure you aren’t missing anything from your packing list. You can also fill this in online or print it out. Whichever you prefer!

Before you go, check out the tips below for easy planning and packing for your trip.

Tips for Vacation Outfit Planning

In addition to the vacation outfit planner, here are a few tips I’ve learned over the years for picking vacation outfits!

1. Think About Where You’re Going and What You’ll Be Doing – Check the weather forecast for your destination and make a short list of the activities you already have planned. Are you going to a wedding, will you be going out for a casual dinner, or are you having cocktails at a hip bar? Creating the perfect outfit depends on all of these things.

2. Choose pieces that can mix and match – if you stick with a color scheme or mostly neutral pieces, it’s much easier to pack fewer items. You can wear pieces a few times with different outfits or avoid needing a whole new outfit in the evening. I often do this with t-shirts and dresses or tops and skirts/jeans. A top/t-shirt can look completely different with a different bottom!

3. Layout your outfits before a trip – if you haven’t worn something together before or want to get a visual of how much you are actually bringing, lay out your outfits before your trip. This will help you see what you are putting together!

4. If you buy anything new, try it on before packing – you never know if it’s going to fit right and you don’t want to be on a trip with a cute new outfit you can’t wear or you feel uncomfortable in.

5. Stay organized – you’re organizing your outfits using a vacation outfit planner, make sure they stay organized in your bag! I recommend packing cubes and a jewelry organizer to keep things tidy and easy to find.

6. Choose clothes that are a mix of at least two of these functional, comfortable, or cute – I love abiding by this rule because it helps me keep from overpacking and feeling blah on a trip. If it’s not functional and cute or comfortable and functional, why am I bringing it?

7. Before packing, check and count it all up using the vacation outfit planner – are you sure you need that much or are you overpacking? Put things back that you really don’t need. This is really helpful when thinking about accessories and little extras you may just be throwing in. Will you really be needing three pairs of heels or will the one pair work with all three outfits? Hmmm….

8. Try thinking of ratios of time – If you’re still having trouble thinking about what to pack and what not to pack, try thinking about the amount of time you’re spending on different types of activities. For example, if you’re spending 20% of your time hiking, but 80% in the city, you probably only need two hiking outfits but a lot more city outfits. Use most of your space for other things!

I love printables. Seriously. Not only are they easy to use, but they’re so convenient and efficient. I try to make a printable for just about anything to keep everything organized and in check.

Since travel planning can get a little hectic, I always like to have an outfit planner that lets me know exactly what I will be wearing each day on my trip. From outfit to accessories, the planner allows me to create a detailed wardrobe, which prevents me from over-packing. This is so efficient in the morning when you’re getting ready because you avoid staring at your suitcase for a good 5 minutes, not knowing what to wear. I know, we’ve all been there . My favorite thing to do is pack the complete outfit together so that I don’t have to make a mess.

I really wanted to create an appealing outfit planner to make this task fun & exciting, since I know that it can be a bit tedious. Below you’ll find 4 different styles that you can download for free. When getting ready to travel, there is enough to do without trying to remember everything you need to pack. That’s why I developed with vacation packing list and vacation clothing planner. Each time we get ready to travel, I just print the list, cross-off what I don’t need, and pack what I need.

Instructions

This free printable is 3 pages: each page has 5 days for outfit planning down the left column. In addition, the right column has: First page: a clothing and accessory list. Second page: electronics, documents/finances, and travel accessories. Third page: toiletries, beauty/make-up, and medical/health.

Please note, I have never brought every single item on this list on a vacation. I just cross out the ones I don’t need; most of the document/finance will only be needed with overseas trips, some of the travel accessories are more useful if you’re flying, most men will not use the make-up stuff, etc. This is an overly-exhaustive list.

• Print options: regular paper works, but you can also use card stock if you want it to be studier. • While the images are separate, it is one pdf file. Click the word ‘download’ next to the file name. • The default size of these is full-page. However, if you want smaller, simply reduce the print size. The Power of Minimalism in Travel

Minimalism in travel is not just about shedding excess baggage; it’s a mindset that encourages you to focus on experiences rather than possessions. By curating a travel wardrobe that revolves around a limited number of pieces, you’ll free yourself from the stress of over-packing and streamline your daily getting dressed routine, giving you more time and energy to immerse yourself on your experiences and the beauty of your surroundings.

Note: The most productive and creative people often wear a ‘uniform’. By choosing a simple clothing style (or in the case of some, like Steve Jobs, an exact wardrobe) they lessen the time and energy spent on choosing outfits each day. Though this can be more challenging for women, look around and you’ll note that most influential women do dress simply in solid colors in their day-to-day lives. We don’t discredit them for putting practicality over fashion, so why do we do this to ourselves?

More reasons to create a capsule wardrobe:

Ease of travel – no waits at baggage claim, no lifting heavy bags. We’ve recently returned from a trip where the ship’s crew transported the luggage, but even with this service there are times when travelers must handle their own bags. We cringed watching fellow travelers struggle with enormous bags as they checked in for flights or tried to wrestle luggage from the conveyor at baggage claim.
Reducing the carbon footprint of travel: Every pound of weight on a plane requires more fuel.
Reducing fast fashion: Fast fashion is a HUGE problem. Sticking to simple, quality clothing items allows you to forgo quick purchases of synthetic pieces that are worn a few times before being discarded.

Overcoming the Spotlight Effect

Several years ago, on a whim, I decided to take the wool& company’s 100-day challenge. This challenge involves wearing one simple dress 100 days in a row. (Accessorizing the dress is encouraged!) Note: merino wool is lightweight, odor-resistant, and quick to dry, so the dress can be washed in the evening if needed and worn the next day .

Why did I decide to take the challenge? Primarily to see if one piece of quality clothing would see me through a trip. And what did I learn? Well, the dress looked as good on Day 100 as it did on Day 1, but of more interest , no one noticed I was wearing the same dress every day! Not even my husband! This opened my eyes to the concept of the ‘spotlight effect’. We think people notice more about us than they do. We agonize over a faux pas that others have immediately forgotten, or we stress about wearing an outfit more than once. In reality people are far more focused on themselves than they are on you.

This is all great news for those of us who want to pack light. We can choose one or two pieces of quality clothing, add a handful of coordinating pieces, and have a travel wardrobe that’ll look great the whole trip. And no one will notice.

Templates for your capsule wardrobe for travel

I find capsule wardrobe planning is easier if I can visualize how my pieces go together to make an outfit. The three templates I’m sharing help me to see the potential combinations. Note the clothing you’re thinking of packing and see how it will fit into one of these templates. I use the Stylebook app as my capsule wardrobe planner and have uploaded these templates to use as a background when planning for travel. But an app is not necessary. Lay out your potential clothing on your bed following the template pattern or just write down your ideas and see how the pieces mix and match.

Remember , capsule wardrobes are designed to be your packing core. If you have no desire to pack light, or have destination-specific clothing requirements, you can still benefit from having a capsule wardrobe as your packing base. Pack your capsule and your essentials in your carry-on and personal item , and check the rest. You can be confident you’ll have the minimum of what you need no matter what happens to checked bags.

Traveling Tulls minimalist 8-piece capsule wardrobe planner

One of my first articles, Women Over 50: the ultimate guide to a capsule travel wardrobe , introduced the concept of a very basic core wardrobe that would mix and match to create many outfits. This is a very basic minimalist capsule of only eight pieces, which I encouraged you to create with the idea you could supplement the capsule if desired.

10 piece capsule wardrobe for a midwinter getaway

Traveling Tulls Minimalist Capsule Wardrobe :

Choose a base color – black, navy, or a neutral that suits your coloring.
Pick a top, bottom, and perhaps a dress in this color.
Add 2-3 print tops, and a topper, that are based on your chosen color.
Add another bottom – shorts, leggings, or skirt in a coordinating neutral.
Add color and pattern with colorful scarves, and accessories.

Sudoku 9-piece capsule wardrobe planner

[I have not been able to find who created this template. Please let me know if you have information so I can credit the source.]

As a puzzle lover I love this Sudoku-inspired grid . You choose three tops, three bottoms, and three layers to create nine outfits. It’s a fun grid to play with and if you’re really inspired, you should be able to create 27 outfits from those 9 pieces! And this grid doesn’t take into account a dress which can be worn as a top, a bottom or as a single piece. Nevertheless, I enjoy visualizing outfits using this grid and think you will too.

Introducing our new travel-tested template: The 11-piece Perfect Eleven Capsule

This template is the fully realized variation on our original 8-piece minimalist template. Unless constrained by luggage restrictions, I rarely travel with an absolute minimalist wardrobe. I like to have some options (and color!) in my bag.

I had settled on ten as the magic number for comfortable light travel. But I really enjoy having some personality in my bag. I found that on every recent trip I’ve taken I ultimately added a Julahas cape or Zuri dress to my bag. I enjoyed having a unique piece along to bring interest and fun to your wardrobe.

So my magic number is ELEVEN. Ten pieces of basic mix and match and one personality piece – something fun that with luck you can use in several ways. It’s not just Zuris or Julahas; I’ve added a large silk square on one trip, and an embroidered jean jacket on another.

The Perfect Eleven: mix, match explore using the Evergreen template

At the heart of the Perfect Eleven are two key items: a Prime Piece and a multifunctional Bonus Piece. Let’s see how these wardrobe staples can revolutionize your packing strategy, allowing you to travel with ease and style.

The Perfect Eleven Capsule Wardrobe for Travel:

Pick your Prime Piece, a single foundation piece such as a dress or pantsuit.
Choose a base color – black, navy, or a neutral that suits your coloring and works with your Prime Piece.
Pick a top, bottom, and layer in your base color.
Pick your Bonus Piece, a multi-use piece that adds personality to the wardrobe. If you don’t want a Bonus Piece, you’re free to add another top.
Add one more layer, 2 more bottoms (shorts, leggings, or skirt), and 3 more tops – Use the template to ensure these pieces will all mix and match with at least two other pieces.

The Prime Piece: choosing the right foundation piece

A cornerstone of this light packing strategy is selecting the perfect dress or pantsuit. Opt for one with a neutral color palette that can effortlessly transition from day to night. The perfect piece will stand alone but can also mix with your other wardrobe pieces to make multiple looks.

Always opt for high-quality pieces as this dress/suit will get lots of wear. Look for travel-friendly fabrics like merino wool to minimize maintenance on the road. Prioritize a comfortable and flattering fit to ensure you feel confident wherever your travels take you.

Consider the climate and culture of your destination. A lightweight fabric is ideal for warmer climates, while a slightly thicker material can be suitable for cooler temperatures. Make sure the piece is comfortable and suits your planned activities, whether it’s exploring cobblestone streets, dining at a local cafe, or visiting a museum. I love my wool& dresses and always choose one as my Prime Piece. They’re easy-care, easy to wear, and layer nicely with my capsule pieces.

The Bonus Piece: versatility in action

This is the piece that makes you happy, the piece that injects personality into your outfits while staying true to your style. I suggest you choose this piece before selecting the bulk of your capsule to make sure the colors of your capsule wardrobe for travel all work together.

Ideas for this piece:

If you’re traveling to a cool climate, you might include your favorite Nordic sweater or a beautiful wool wrap. (I love including a Julahas wrap when I’m traveling. So pretty and snuggly warm.)
When I’m off on a beach holiday I might choose a chiffon wrap which will function as a scarf, a beach cover-up, or a light shawl in the evening.
For a city break, or any trip where you want a little extra, pack a leather jacket.
My current favorite is the multifunctional duster, a true chameleon in my wardrobe arsenal. I happen to love the bright African designs of Zuri and enjoy having one in my luggage. Most of the time I wear my Zuris over a duster over a pants outfit, but I will wear it as a dress and as a skirt at least once on my trip.
For a European vacation, I might choose a convertible dress like the Origami from Diane Kroe. This piece can be worn as a dress, a slouchy top, or as a wrap skirt.
Large silk scarves and wraps are incredibly versatile, serving both functional and fashion purposes.

Completing this capsule wardrobe for travel

Layers : choose two toppers. One in your basic color and the other can be in a coordinating color.

Bottoms : choose three – pants, skirts, or shorts. One in the basic color, two in coordinating colors. [Remember: dresses can be counted as a top or a bottom!]

Tops : choose four. One in the basic color, three that coordinate:

I’d recommend one of the tops be a basic white or black top (button down is always a great choice)
Another great choice is a striped top. (A striped tee, e.g., Breton stripe is my go-to)
[Optional] I love to add a bright colored (though coordinating) top. Takes a bit of the ho-hum out of capsule dressing.

As you can see, I rely heavily on merino wool when traveling. All three dresses are merino, as are all the tops in the Chicago and Wisconsin capsule. The Aspen hoodie (Chicago) and the Rita skirt (Caribbean) are both from wool& . Let me know if you’d like me to identify any more of these!

Mix and match to maximize your outfits

What I really like about this capsule wardrobe planner is how easy it is to ensure items work together. Assemble your pieces following the lines and you’ll have 8 three-piece outfits without even using the Prime Player or Bonus Piece. Add all the pieces together with a little coordination and you can create over 45 unique outfit combinations!

When using this template for capsule wardrobe planning, make sure that each item goes with the pieces that are connected to it on the grid. (Each layer piece is connected to two bottoms, each bottom is connected with two tops.)

Follow the colored lines on the templates for 14 straight forward outfits. But if you add in the prime piece, bonus piece, and work on color coordination, there are dozens more outfits you can create!

Imagine strolling through Parisian streets in your maxi dress, layering your denim jacket for a touch of warmth. Later, swap the maxi for your pants and a chic button-down blouse for a delicious dinner at a local bistro. The possibilities are endless!

Capsules assembled and ready to pack?

Hold on a minute! No matter which of these capsule wardrobe planners you use, you’ll still need to pack a few more basics:

Accessories – fun jewelry, scarves, belts, etc.
Shoes – TRY to stick to two pairs and wear your heavier pair on the flight
Underwear, leggings, & Pajamas
Outerwear and a good sun hat

I usually find on a daily basis at home I live in almost the same clothes, so why does packing for a trip lead me to want to take my entire wardrobe? This is so inspiring, thank you! The visual of the Suduko wardrobe helps a lot and liked the message :Reducing the carbon footprint of travel: Every pound of weight on a plane requires more fuel. I can do this!

It’s the shoes I struggle with – and the travelling full-time scenario – items for different seasons and types of activities all in one bag.

Shoes are ALWAYS a challenge. If you’re traveling full-time, it’ll be an especially challenging problem. If you find a pair of comfortable walking shoes that look nice enough for evenings out, LET ME KNOW!!

I have to agree that shoes are the hardest part in travel. In the summer, I can manage with a cute sandal that can take me out to dinner as well as any dress up. I like your templates. I have a 2 week European trip in May so I will try it!

In October 2024, I’m taking a repositioning cruise from Alaska to Hawaii, I’m panicking over packing for two climates . My coloring is soft autumn, any suggestions?

That is a challenge! But it’s doable with layers. I’d pack a solid base (tops, a versatile dress, and leggings/pants) that’ll work for days on the ship. (A white button-down blouse is a classic but a breton stripe top might be more suitable on the cruise.) Add a warm sweater and puffer for Alaska, and short sleeves for Hawaii. Focus on color and have fun with accessories. A couple of nice scarves or wraps will completely change the look of a simple outfit!

What I’m outlining here is a BASIC list. Once you know you’ve covered the basics you can add favorite pieces for the trip. (Especially for Hawaii where your outfits won’t be covered by a jacket.)

If this were my trip (I wish!) I’d be sure to pack a simple sleeveless dress that can be worn alone in Hawaii, layered with leggings and a sweater for excursions in Alaska, and dressed up with a pretty wrap for dinners onboard)

You have been working hard for months and finally, it’s time for that long awaited vacation. The build-up to vacation is often as exciting as the vacation itself. But a lot of time we get bogged down by the preparations and data management.

Even for a short vacation or business trip, there is a lot of data management that needs to be done – travel details, bookings details, packing, pick-up/drop, getting all the documents in place, etc.

To make it easier, here are some Excel templates you can use to be more organized while planning a vacation:

All you need to do is fill the details in this template, and take a printout or save the Excel or PDF in your smartphone. Now you don’t need to go through all the papers or emails when someone asks you – what’s next. You’ll have it ready right there at one place.

This vacation itinerary template is organized in a way that makes it easier to keep a track of everything. It begins with the travel details, pick-up/drop details, hotels details, activity details, and return trip details.

It is super easy to maintain and once finalized, you can share it with everyone who is accompanying you on the vacation/trip.

Business Travel Itinerary Template

If you going on business travel instead of a vacation, this template can be easily modified. All you need to change is the Activities section, where you may want to have your meeting/conference details. Something as shown below:

Travel Itinerary template is just one of the templates to make your vacation more about fun & pleasant memories and less about data/details management.

For some people (including myself), one of the major headaches is the packing part. I hate packing and I push it to the last minute. And as expected, it often leads to a lot of missed items that I should have been carrying. Even when people take enough packing time, they often tend to forget and miss out on a couple of items.

To deal with this, here is a Vacation Packing List template in Excel that will help you be more efficient while you pack for your next vacation/trip.

Again, you can either use the template in Excel or can take a printout and manually cross off items that you have packed. It’s an editable file so you can add/delete items based on the nature of your trip.

If you are using this template as an Excel workbook, you can simply mark the items as packed by double clicking on the cell to the left of the item name. As soon as you do that, the item gets a check mark on the left and gets shaded in green color.

Here is what I mean:

Now you don’t need to lose sleep thinking of stuff you may have forgotten. If it is in the list and marked green, you have it.

Vacation Expense Calculator Template

When the fun-filled vacation gets over, you have to get down to the difficult task of ascertaining who owes whom. Since it’s not as fun as the vacation planning part, it often gets dragged and delayed. The only person who remembers this is the one who owes money 🙂

Here is a template you can use to instantly calculate who owes whom – Shared Expense Calculator Template.

All you need to do is specify the names of the people among whom the expense has to be shared and the expenses made. It will instantly calculate who owes who and show it graphically.

These free Disney trip planner sheets are so helpful when you're getting ready for a trip to Disney World or Disneyland!

Getting ready for my first trip to Walt Disney World with Disney SMMC was really exciting. I mean, isn't planning part of the fun of taking a vacation?! Now, I think that as a first-timer it definitely can seem overwhelming to plan a Disney trip - whether it's at Disney World or Disneyland - simply because there are so many options and things to do. But I love doing travel research, no matter where I'm going. You can call me a nerd, I don't care! I love to read about the best places to eat, things to do, and decide what I'm going to wear ahead of time. I make a lot of LISTS, because lists are the best. Since I was going all out with my outfits and wanted to make sure I made some good restaurant reservations ahead of time - I went looking for some fun Disney planner sheets to keep it all straight. I couldn't find exactly what I was looking for, so I just made my own.

The first type I made was just a basic daily planner. I wanted to have a separate page for each day we would be at Disney World. I'd make a note of which parks we'd be at and when, any meal reservations and Fastpasses we had, and which t-shirt and ears I wanted to wear. This honestly was just a fun exercise for me to make sure I'd have time to hit my high-priority attractions and snack spots! I knew better than to try to stick to a hard and fast itinerary. I think it is just as important to let the schedule go sometimes and go with the flow. Most of my notes for these pages were just like this:

1 - Back to resort to rest

3 - Hollywood Studios

Dinner - 7:30 PM - 50's Prime Time Cafe

See? "I'm breezy!" (Name that show.)

I also made a to-do list sheet with a little countdown box, because who doesn't love a countdown!? I made a list of the foods I wanted to try and attractions that were most important to us here - which helped a lot when it came to actually making Fastpass+ reservations!

Last but certainly not least, the Disney Outfit Planner. I really think this might be the most important of them all - especially if you are trying to coordinate outfits for multiple family members! Y'all, I was only planning for myself (i.e. Not Today Cruella ) and I felt like it was pressure. A lot of you are probably trying to coordinate yourselves, multiple children and partners for each day at WDW. That is no small task! This one just has simple boxes and a packing list on the side.

By the way - I know we all want to look cute at Disney, but choose comfort first. Sensible shoes are a must! We walked between 20,000 and 25,000 steps each day when we were at the parks, even after taking a siesta each afternoon. It's a marathon!
