Schengen Visa Application Process at the Consulate General of Italy in Chicago

When you know which visa you require, you can start the application process at the Consulate General of Italy in Chicago. The first thing to do is to check out the visa page of the consulate’s website. All the information you need has been laid out in an easy to understand way. The steps you need to follow are straightforward, but if you want the best chance of a successful application, you need to follow them exactly.

There are some issues that you need to be aware of when applying for your visa:

  • Visas cannot be issued on the same day
  • Incomplete applications will not be accepted
  • Rush processing is not an option
  • Documents sent by fax/email prior to your appointment will not be accepted

Step 1: Making an appointment           

You have to apply for your Italian Schengen visa by making an appointment on the consulate’s website. It is advisable to apply well before your trip because at certain times of the year, such as during the summer months, Thanksgiving and Christmas, the waiting time for appointments can be as much as 2 months. However, please bear in mind that applications should not be more than 90 days before your trip.

Step 2: Printing the Schengen visa application form

All you need to do to get a free Schengen visa application form is to go to the Consulate General of Italy in Chicago’s website and print one off. There are other forms if you require them.

Step 3: Preparing your documents

After you have the day and time set for your appointment and have your application and other forms ready, you must now turn your attention to preparing your documents. This is such an important part of the process because if you fail to provide what is required, your application will be rejected.

It is also important that you have original documents as well as photocopies of everything. If you are in possession of foreign documents which need to be submitted, you must arrange for these to be translated into English and, in some cases, Italian, and legalized.

Step 4: The Schengen Visa Interview

Hopefully, by this time, you’ll have got all the necessary documents because once you arrive at the Italian consulate in Chicago you’ll have limited time to go through everything. How to Schedule an Appointment at the Italian Consulate (Prenota)

IMPORTANT REMINDER: All Dates in Prenota are in the format of DAY/MONTH/YEAR. Ex: 01/08/2020 = August 1, 2020.

Before You Begin: “Why can’t I find an appointment” is our most asked question, so we will answer that first before explaining all the basics of Prenota.

When you log into Prenota and first pull up the calendar, it will default to the first available appointment. If nothing is shown, there are no openings at the moment. It will default to the month that will have openings in the future. Read below for more information.

What is Prenot@mi? Prenot@mi is the online program used to make appointments inside the Italian consular network to obtain consular services. Prenota is derived from the Italian verb prenotare meaning “to reserve.” Prenota divides appointments up based on the different offices available within the consular services division, primarily: Citizenship, Passports, Visa Office, and the Stato Civile / Anagrafe Office.

Prenota is a free service provided by the Ministry of Foreign Affairs. Although it may be tempting to simply pay a service to obtain an appointment for you, you should never do so. The Consulate reserves the right to cancel any appointment it feels or discovers were made via a paid service. The following warning is taken directly from the Italian consular webpage:

We would recommend all users to  refrain from accepting any offer made by websites, agencies or other individuals  claiming to be able to book an early appointment on your behalf, provided that you pay a fee. The Consulate General wishes to stress that  there is no connection at all between the Consulate itself and such websites, agencies or individuals  and reserves its right to take action where appropriate, including cancelling appointments it discovers or suspects were made via a paid service.

COLOR CODING OF DATES ON THE PRENOTA CALENDAR

There is a color coded guide for the dates when you arrive at the Calendar in Prenota. The corresponding color indicates the level of availability for appointments on a particular day.

Red : No availability on that day at the moment (aka: already booked)

Yellow : Medium availability of appointment slots for this day.

Green : All appointment slots available for this day.

Black : Not available (AKA: days they don’t have appointments [etc. public holidays, business days not open to the public], but also days they haven’t yet opened the availability on)

STEP BY STEP GUIDE: HOW TO MAKE AN APPOINTMENT IN PRENOTA

CREATE AN ACCOUNT Fill in all your personal details. If you are asked to provide an identity document number, your US drivers license or Passport number will suffice. When you are finished. Prenota will email you a confirmation email with a link to click. Click that. Then you can log in. You can find links to all of the US Consular Prenota sites at the bottom of this page.

ACCESS THE PRENOTA CALENDAR FOR THE APPROPRIATE OFFICE You will click on “Make your reservation.”

Then click on “Citizenship” or “Passports” depending on which office you wish to make an appointment with. After this, at least 1 or 2 consulates will ask you some personal info such as your passport number (your US passport you used to register in Prenota with), address, profession, etc. to verify your identity. Some might ask you what type of citizenship appointment you want, so you click on “Jure Sanguinis.”

Next will be a box for additional notes you wish to add, and a privacy statement. Once you accept that statement then you will come to the calendar that will show available (or unavailable dates).

The calendar will automatically show you the first available appointment. If there are any, you will see a date in yellow or green (see color coding section above). If you the dates shown in yellow and/or green are too soon, you can click on “>” to change the month.

You can click the date, and a list of available times will appear next to the calendar. Select your time and click confirm.

You will then be asked to type in a random 8-10 character “verification code”. Click confirm and if successful, it will show your appointment details. You can also see your appointment details under “My reservations” on the far left column.

COMMON ISSUES AND HELPFUL TIPS WITH HOW PRENOTA WORKS

HOW THE CALENDAR LOADS If the calendar first loads to a month that only shows black and red dates, that means the consulate currently has no available appointments you can book.

When a consulate released new availability, that occurs at midnight Rome time. How often this occurs is set by the consulate. Chicago, and San Francisco do this daily, but for a different periods of time out. Chicago is about 20 months out, while San Francisco is 24 months out. Boston releases a month at a time. Detroit currently has over a month of appointments available while at other consulates, it’s rare to ever see a single opening. Houston only has appointments twice a week, thus twice a week they release new dates, and they only do bookings for a couple months out.

TIMING: MIDNIGHT ROME TIME Note, when midnight Rome time hits, the servers can not handle the amount of people trying for new dates. The site will suddenly be taking 30+ seconds to load a page if you don’t get page loading errors. If it is 00:01 Rome time and you see a new date is red, that means the few openings they released are already gone. Yes, it can be brutal. People try time and time again to get an appointment for San Francisco as an example, while Detroit currently has over 2 months of openings. Again, each consulate does things differently.

CANCELLATIONS If someone cancels an appointment they had booked, it goes right back up for grabs, that very second. If you log in now, and see nothing, logging in again in 5 minutes or 5 hours could have a different result. So if you are ready for an appointment, checking frequently and randomly would be a great way to find an appointment, or a sooner one if you already have one booked maybe 16 months in the future. Related to the release of cancellations, changing of the calendar’s month does refresh what is available, and the site’s timer to auto log you out is 15 minutes. So if you really want, you can leave the tab open, and change the months every 5 minutes to keep looking for an available appointment.

MULTIPLE APPOINTMENT TIPS If you already have one appointment booked, you can not book a second. If you have one that is 14 months away, and are looking for a sooner one, the best way is to create another prenota account using a different email address, and a different ID document. Then you can log in at random and if one pops up, you won’t have to first worry about canceling the one 14 months out, which during those couple seconds, someone else could grab that sooner one you say. Some people have reported issues with creating a second account on the same computer. Try another browser or another computer if you have problems.

HOW TO FIND LAST MINUTE OR CANCELLED APPOINTMENTS Here is a list of last minute available appointments. Please do not post there asking for one. This is where someone can post up if they are going to cancel an appointment for next week or if they log into prenota and see one that is available next week.

SCHENGEN VISA

The Schengen visa is valid for a maximum of 90 days and allows the visa holder to travel to all of the 27 European Countries that signed the Schengen Agreement namely: Austria, Belgium, Croatia, Czech Republic, Denmark, Estonia, Finland, France, Germany, Greece, Hungary, Iceland, Italy, Latvia, Lichtenstein, Lithuania, Luxembourg, Malta, The Netherlands, Norway, Poland, Portugal, Slovakia, Slovenia, Spain, Sweden and Switzerland.

If you intend to visit one or more Schengen Countries in the course of a single trip, you must apply for a visa at the Consulate of the Country that is your main destination (i.e. where you will stay longer). If you are planning to spend an equal amount of time in different Countries, the visa must be requested at the Consulate of the Schengen Country port of entry (the Country you enter first).

Please note that the border authorities may refuse entry to a foreign national who does not meet all requirements.

Italy is welcoming globetrotting professionals with open arms.

The country's digital nomad visa went into effect last week after being discussed by Italian legislators for years, and it's aimed at remote workers who want to spend some time living in the popular European destination, according to Euronews .

The Italian government defines digital nomads as non-European Union or Swiss citizens who are highly skilled, Euronews said. They should be able to work remotely, either as someone self-employed or in collaboration with or as an employee of a company.

But it's not as simple as showing up with your luggage and laptop.

Visa applicants must earn three times the minimum level required for exemption from participation in healthcare costs. That comes out to just under €28,000 annually or about $30,400.

Further requirements include health insurance coverage for the duration of your stay, proof of accommodation, and candidates will have to show they've been a remote worker elsewhere for at least six months or a digital nomad for the same period of time.

And while the digital nomad visa is only good for one year, it can be renewed — and your family can be included.

You may, however, get rejected if you've been convicted of a crime in the last five years, Euronews said.

It's the latest effort from Italy to encourage growth. For a while now, aging Italian towns have offered their homes up for just one euro in an effort to curb underpopulation. The deal attracted foreigners who took advantage of the fixer-uppers.

Still, elsewhere in Europe, several countries are rolling back their "golden visas" that once allowed outsiders to obtain residency permits after investing over $500,000 in real estate.

If you're a digital nomad or a remote worker looking for your next home away from home, consider Italy. The country's new digital nomad visa went into effect his month, according to Euronews .

Italy's government defines digital nomads as a citizen of non-EU states who carry out "a highly qualified work activity with the use of technological tools capable of allowing them to work remotely," Euronews states.

The worker should either be self-employed, in collaboration with, or as an employee of a company.

To take advantage of Italy's new digital nomad visa, remote workers must have an annual income of at least three times the minimum level required for exemption from participating in healthcare costs. That amounts to just under €28,000 annually or $30,051 USD.

Italy also requires applicants to have health insurance for the duration of their stay, suitable accommodations, and proof that they have been digital nomads or remote workers in another place for at least six months.

The visa is good for one year and can be renewed. Family members can be added to the application, but final approval is at the government's discretion.

Applicants must visit a valid Italian consulate in their country of residence and submit a declaration signed by their employer as part of the process.

Euronews also reports that applicants convicted of a crime within the last five years will automatically be rejected.

Once the visa is approved, digital nomads or remote workers will have eight days from their arrival in Italy to apply for a resident permit.

This digital nomad visa is just one of the many ways Italy is attracting people to its coasts. Since the late 2010s, towns in the country have been going viral for selling homes for 1 euro , or roughly $1.07, as a way to get foreign investments and bring population numbers back up.

A visit from the Windy City to the City of Seven Hills just got easier. On Sunday, ITA Airways, Italy’s main airline, launched new service connecting Chicago and Rome. The route will initially operate six times a week, and will soon increase to seven times a week in June, the airline shared in a press release. The 9 hour and 20 minute flight will depart Chicago's O'Hare International Airport at 3:00 p.m. and arrives in Rome's Leonardo da Vinci–Fiumicino Airport at 7:20 a.m. the next morning. The route will operate with three different cabins (Business, Premium Economy, and Economy) on an Airbus A330neo aircraft.

Tickets for future flights are now available on ITA's website . "This new destination, the seventh in North America, further enriches the intercontinental network of ITA Airways and consolidates our expansion towards the United States, which is the first international market for our Company,” ITA Airways' Chief Commercial Officer Emiliana Limosani said in a statement. ITA Airways is a part of the SkyTeam Alliance loyalty program which allows travelers to redeem or earn miles from other member airlines including Delta. Contrarily, Chicago’s O’Hare is a large hub for United Airlines, a member of the competing Star Alliance network, which operates multiple flights to Italy.

The new Chicago route is an expansion of the airline’s' presence across North America. During the peak summer travel season, ITA will operate 140 weekly flights between North America and Italy.

Travelers on ITA will immediately feel immersed in Italian culture upon boarding as its aircrafts' interiors are designed by car designer Walter De Silva, and crew uniforms styled and designed by the famed Italian fashion house Brunello Cucinelli. Its in-flight menu is also by Italian chefs.

Rome was recently ranked as one of the top five most popular summer destinations of 2024, according to Google Flight data . American Airlines also recently announced its largest schedule to Italy this summer, also with daily service to Rome from Chicago.
